What to include in a web design proposal (and why)
Each section does a job. Here's what goes in it and the mistake to avoid.
- Project goals
- The outcome the site must produce, in business terms. Mistake: describing the design ("modern, clean") instead of the result ("book more calls").
- Current situation
- What exists and why it falls short. Mistake: skipping it — it's how you justify the project's value.
- Page & template list
- Every page and reusable template, by name and count. Mistake: a fuzzy list that lets "just one more page" balloon the build.
- In / out of scope
- Especially content, photography, and post-launch edits. Mistake: assuming the client knows copywriting isn't included.
- Timeline with gates
- Phases tied to wireframe and design sign-offs. Mistake: dates with no dependency on client feedback speed.
- Investment & deposit
- Fixed fee, optional add-ons, and a deposit to book. Mistake: no deposit, so the start date isn't protected.

- What should a web design proposal include?
- Project goals, the current situation, a concrete page/template list, what's in and out of scope, a phased timeline with review gates, pricing with a deposit, assumptions, and terms. The page list and the out-of-scope section are what prevent disputes.
- How much detail should the scope have?
- Enough that both sides can point to it later. List every page and template by name, note how many instances of each, and state exclusions plainly. 'A website' is not scope; 'home, one services template ×4, about, contact' is.
- Should I charge a deposit for web design work?
- Yes — a deposit (commonly around half) books your start date and filters out clients who aren't ready. Tie the remainder to launch, and state that the deposit is non-refundable if they cancel.
- How do I stop scope creep on a website project?
- Two things: an explicit out-of-scope list, and a change-control line that says new requests are quoted separately. Point back to the proposal when a 'quick extra page' appears.
- Proposal or contract — which is this?
- This is a proposal: it pitches the project and gets a yes. For detailed delivery terms and acceptance criteria, pair it with a scope of work or statement of work.
